Does your team log requests, inspections or site visits in a shared spreadsheet that nobody reviews on time? As the process grows, someone suggests "building an app," and Zoho Creator comes up, along with Power Apps, AppSheet and other low-code tools.
In this guide you'll learn what Zoho Creator is, how its workflows work, how it differs from Zoho Flow and Zoho CRM workflow rules, which use cases it fits, what the alternatives are and what makes sense if you already use Odoo.
What is Zoho Creator
Zoho Creator is Zoho's low-code platform for building business applications from forms, reports and pages, on top of its own database. Logic is added through workflows written in Deluge, Zoho's scripting language, and every app runs on the web and as a native app for iOS and Android.
Low-code database apps: forms, records and reports
In low-code database apps, each form defines what data is stored, each submission creates a record and reports let you filter, edit or approve those records. In Zoho Creator, forms are built by dragging and dropping fields, and pages bring together forms, reports and charts. It also offers portals for customers or suppliers and Zia, an AI assistant that helps you build the app.
It is priced per user on the Standard, Professional, Enterprise and Flex plans, with a 15-day free trial, no credit card required, and a free edition to get started with one app. Pricing depends on your region (reviewed in October 2026).
How workflows work in Zoho Creator
Zoho Creator workflows are rules that run automatic actions when an event happens in the app: a form is submitted, a record is edited, a date arrives or someone clicks a button. Simple rules, such as showing or hiding a field, are set up without code; custom logic is written in Deluge, Zoho's own scripting language, so it can't be moved to another platform without rewriting it. Zoho's documentation distinguishes eight types:
| Type | When it runs | Example |
|---|---|---|
| Form workflow | When a record is created, edited or deleted, or when the form is loaded, filled in or submitted | Validate the format of a RUT (Chile's tax ID) |
| Schedule | On a fixed date or based on a date field | Reminder before a contract expires |
| Approval | When a record goes through a multi-level review | Purchase approved by the department head and finance |
| Payment | When collecting a payment from a form, depending on whether it succeeds or fails | Paid registration |
| Blueprint | At each transition between stages, restricted to certain users or roles | Complaint received → under review → resolved |
| Batch workflow | After an import or at set intervals, in batches of 10 to 1,000 records | Recalculate thousands of records |
| Report workflow | From buttons or menus added to a report | "Mark as shipped" |
| Functions | When another workflow or another app calls them | Reusable discount rule |
Zoho Creator, Zoho Flow and Zoho CRM workflow rules: which is which
When you search for Zoho workflow automation, three different things come up:
- Zoho Creator builds new apps, with their own data and workflows.
- Zoho Flow is Zoho's integration platform: it connects applications, whether from Zoho or third parties, through triggers and actions, without creating an app. It competes with tools like n8n or Power Automate.
- Zoho CRM workflow rules work inside the CRM: when a record that meets a condition is created, edited or deleted, or a date arrives, they send emails, create tasks, update fields or call a webhook, either instantly or later.
In short: your own data and screens, Creator; connecting systems, Flow; processes inside the CRM, its workflow rules. The general concept is covered in what is workflow automation.
Which teams and use cases it fits (and its limits)
Zoho Creator works well for departmental apps with a clear process: internal requests with approvals, field inspections from a phone, contract tracking with expiration dates and simple supplier portals. It's an even better fit if you already use other Zoho apps.
Its limits show up when the app starts to look like an ERP: inventory, accounting or electronic invoicing with the SII (Chile's tax authority) live in another system that has to be integrated, or in apps your team will have to build and maintain. On top of that, the license cost grows with every user.
Zoho Creator alternatives: Power Apps, AppSheet and Airtable
The most direct Zoho Creator alternatives are other low-code platforms, not an ERP. Choose based on where your data and users live today:
| Platform | What it is | Where the data lives | Best fit if |
|---|---|---|---|
| Zoho Creator | Zoho's low-code platform, workflows in Deluge | Its own database | You already use Zoho or need departmental apps |
| Power Apps | Microsoft suite for canvas and model-driven apps | Dataverse, SharePoint, SQL Server or Dynamics 365 | Your company runs on Microsoft 365 |
| AppSheet | Google's platform for building apps and automations without code | Google Sheets, Excel, SQL databases or Salesforce | You use Google Workspace |
| Airtable | Collaborative bases with tables, views and automations | Airtable bases | Your process today is a shared spreadsheet |
Before deciding, check which licenses you already have:
- Power Apps: some Microsoft 365 licenses include limited use rights, designed for Microsoft 365 data and standard connectors, which are not the same as a premium license. The same applies to Power Automate (see Power Automate licensing).
- AppSheet: according to Google, AppSheet Core comes at no extra cost with most Google Workspace editions, including Business Starter, Standard and Plus (reviewed in October 2026).
If you already use Odoo: when Odoo Studio and automated actions replace a separate app
Odoo Studio is the no-code customization tool in Odoo: it adds or modifies fields, views, PDF reports and automation, approval and security rules, and lets you build an app from scratch.
Automated actions, which Odoo now calls automation rules, are triggered when a value changes, an email is received or sent, or a time-based condition is met. They can update records, create activities, send emails or WhatsApp messages and call webhooks. In Odoo 20 they can also invoke AI agents, which consume credits purchased separately; what's available depends on your version and plan.
The comparison with Zoho Creator isn't apples to apples: Studio is part of an ERP that has to be licensed. In the Odoo pricing table, Studio is listed under the Custom plan, which is billed per user, and the page states that installing it moves your database to that plan (reviewed in October 2026). Studio isn't available in Community, as we explain in Odoo Community vs Enterprise.
Studio and automation rules replace a separate app when:
- The data the app needs is already in Odoo: customers, products, orders or projects.
- The process ends in an Odoo document, such as a purchase order or an invoice.
- The people who will use it already have an Odoo user.
- You need the same permissions, history and reports as the ERP.
A separate app makes sense if its users are outside Odoo or if the process barely touches ERP data. If it still needs to read from or write to Odoo, plan the integration from the start: in that same table, the external API is also listed only under Custom.
Low-code risks: orphaned apps and duplicate data
Low-code makes it easy to build apps, and that is exactly where the risk lies. An orphaned app is one built by someone who later changed roles or left the company, and that no one else knows how to maintain. You end up with duplicate data when the same customer or product exists in the app and in the ERP with different information (see customer history and the 360 view). To avoid this:
- Assign each app a business owner and a technical owner.
- Keep an inventory of apps, users and licenses.
- Define which system is the official source for each piece of data and have the app read it from there.
- If the app stores personal data, review the requirements of Law 21,719, Chile's personal data protection law.
If your data lives in Odoo, Keep Checking alerts you to "Duplicate contacts" or "Duplicate products." In the quote builder you put together your selection of alerts and request your quote.
Why work with KPB Solutions
KPB Solutions is an Odoo Gold Partner (top 5% worldwide) and helps you decide whether a process deserves a separate app or fits within your ERP:
- In Odoo: during the Odoo implementation we configure Studio, automations and approvals, and connect them with the systems that remain outside. If you already use Odoo, through support and continuous improvement we propose enhancements: modules, reports or automations.
- With AI: when a request comes in as free text and a form isn't enough, the custom AI assistants and agents from Kersify interpret it and create the record in your CRM or ERP, whether it's Odoo or another system, with a person validating it.
Have a process running on spreadsheets and not sure whether it needs a low-code app or an ERP? Book a meeting and we'll assess it with you.
