How many times a day does your team answer the same question? Where's my order, when will the invoice arrive, how do I exchange a product. Meanwhile, the complaint that actually needed a person is waiting in the same inbox.
AI customer service automation is about separating those two things: letting the repetitive work resolve itself so people get to what matters sooner, and better informed.
In this guide you'll learn which tasks to delegate, the six types of support automation, when to use a chatbot or an agent, a sample workflow, and a 30-60-90 day plan.
What is AI customer service automation?
AI customer service automation is the use of artificial intelligence to answer, classify, route, and document your customers' inquiries in the channels where they arrive, with access to your company's data and clear rules about when a person needs to step in. It doesn't replace your team: it takes the repetitive work off their plate.
It works like any automated workflow (trigger, rules, and actions), but it understands free-form language: "my box arrived open and a product is missing."
Customer service tasks that can be automated (and those that can't)
The customer service tasks that can be automated are the ones that repeat, follow clear rules, and carry little risk if something goes wrong:
| Task | Level | Human oversight |
|---|---|---|
| Answering frequently asked questions | Automatable | Monthly review |
| Sharing order or shipping status | Automatable, with an ERP connection | Low |
| Asking for missing details (order number, RUT tax ID, photos) | Automatable | Low |
| Classifying, prioritizing, and assigning tickets | Automatable | Weekly review of a sample |
| Drafting replies and summarizing conversations | Assisted | The support rep approves |
| Complaints, returns, refunds, and exceptions | Human | AI only prepares the case |
The rule of thumb: AI informs and prepares; decisions that commit money, policies, or the customer relationship are made by a person.
The 6 types of AI automation in customer support
The types of AI automation in customer support are the ways AI in customer service steps into an inquiry, from least to most autonomous:
| Type | What it does | When it makes sense |
|---|---|---|
| 1. Self-service with a knowledge base | The customer finds the answer in articles | Repeated, documented questions |
| 2. Rule-based chatbot | Follows a script with options | Few, predictable inquiries |
| 3. Conversational AI agent | Understands free-form language, looks up systems, and carries out limited actions | Answers that depend on the customer |
| 4. Ticket classification and routing | Assigns type, priority, and team | High volume and multiple teams |
| 5. Agent copilot | Suggests replies and summarizes the case | Cases that call for judgment |
| 6. Post-contact automation and quality control | Closes the case, sends the survey, and reviews conversations | Once you have volume |
You don't need all six: a good starting point is classification and a copilot, plus an agent for frequent inquiries.
Chatbot vs AI agent: the practical difference
A rule-based chatbot follows a script written in advance. The ones in Odoo Live Chat work this way: depending on the visitor's answers, they ask for an email, create a lead or a ticket, or hand off to an operator. An AI agent, on the other hand, interprets free-form language and acts on each customer's data.
What is an AI agent for customer support?
An AI agent for customer support is an assistant that talks with the customer, identifies the case, finds the information it needs (orders, invoices, past tickets), and takes actions such as asking for a detail or creating the ticket, with rules that say when to hand the case over to a person. If your inquiries are few and always the same, a chatbot is enough; if they depend on each customer's history, an agent is the better fit.
Why customer history is the foundation of a good answer
"Where's my order?" can't be answered without that customer's order, shipment, and invoice. That's why the connection to your helpdesk and ERP matters more than the AI model you choose: an excellent model without data gives generic answers or makes things up. How to keep that history complete and free of duplicates is covered in the guide to customer history and the 360-degree view.
AI helpdesk: what Odoo includes and what you add
An AI helpdesk is a ticketing system that uses artificial intelligence to classify cases, suggest replies, or handle some of the inquiries. Odoo Helpdesk natively includes SLA policies, which set the deadline for each ticket, and satisfaction surveys when a ticket is closed. The Odoo 20 release notes add AI-powered detection of similar tickets to suggest replies to the team.
Two caveats: in Odoo 20 all AI features consume IAP (in-app purchase) credits that are bought separately, and on the Odoo pricing page agentic AI ("Agentic AI") is listed only in the Custom plan (checked in October 2026). What's available depends on your version and plan.
WhatsApp, email, and web: automating by channel without duplicating work
One bot per channel leaves the same customer with three conversations and nobody with the full picture. The rule: one case, one ticket, no matter where it came in.
- Email: in Odoo Helpdesk, each team can have an alias that creates tickets automatically.
- Web: the website form or live chat, where the chatbot or a support rep creates the ticket.
- WhatsApp: when the customer writes in, a 24-hour customer service window opens in which you can reply with free-form messages; outside it, only with templates (checked in October 2026). KPB handles this through its partnership with Vambe (AI agents that sell and provide service over WhatsApp, connected to Odoo CRM) or with a custom integration.
Human in the loop: when to escalate and how to prevent made-up answers
The biggest risk with an agent is that it confidently makes up an answer. These rules prevent it:
- Approved sources. It answers only from your knowledge base and system data; if it can't find the answer, it says so and hands off.
- Escalation triggers. A complaint, a return, an amount above a threshold, or an upset customer.
- Handoff with context. The support rep receives the summary and the details already collected.
- Minimum permissions. Looking up an order is not the same as voiding an invoice: anything that moves money is approved by a person.
- Weekly review of a sample of conversations.
- Transparency. Let the customer know they're talking to an AI assistant and ask only for the information you need. What changes under Chilean law is covered in the guide to Law 21,719 on personal data protection.
Sample workflow: from the customer's message to a ticket ready in Helpdesk
- The customer writes: "My order arrived incomplete."
- The agent identifies them by email or phone number, looks up their recent orders, and asks for the order number and a photo of what they received.
- It classifies the case as an incomplete shipment and assigns a priority.
- It creates the ticket in Helpdesk with a summary, the order, and the photos; the SLA policy sets the deadline.
- It suggests a solution to the support rep, such as reshipping the missing items.
- The support rep decides and replies. If a credit note is needed, they approve it.
- When the ticket is closed, the customer receives the satisfaction survey.
Metrics and a 30-60-90 day plan
There's no universal savings percentage: measure your starting point and compare. The key metrics are first response time, resolution time, SLA compliance, CSAT or customer satisfaction, and reopen rate.
| Stage | What to do | Outcome |
|---|---|---|
| Days 1-30 | Measure the baseline, identify the 20 most frequent inquiries, and clean up the knowledge base | Know what to automate |
| Days 31-60 | Turn on classification and the copilot; pilot the agent on one channel | First comparison against the baseline |
| Days 61-90 | Fine-tune escalation, add channels, and automate case closure | Decide whether to scale, adjust, or stop |
If you use Odoo, the "Ticketing (Support) Status & Performance" dashboard in Keep BI and the "Tickets open for more than X days" and "Tickets with no activity" alerts in Keep Checking help you track these metrics without building reports by hand.
